Glossary: CrewProof terms in plain English

Quick definitions for every term you’ll see in the admin panel and the mobile app. No jargon — just what each word means for your cleaning business.

Organization

Your company’s account in CrewProof. Everything you set up — customers, sites, cleaners, jobs — belongs to your organization and no one else can see it.

Org code

The short code (like MAR-8821) that identifies your organization. Your cleaners type it into the mobile app to log in. See Your organization code.

Customer

The business or property manager you clean for — for example, Northgate Property Group. A customer can have more than one site.

Site

One physical place your cleaners go to work — for example, Riverside Medical Centre, 42 Harrow Street. Every site has its own geofence and its own schedule.

Geofence

An invisible circle drawn around a site’s address. A cleaner can only clock in or out from inside that circle. See Sites and the geofence.

Cleaner

A member of your cleaning staff who logs into the mobile app with your org code, their phone number, and a 4-digit PIN.

Crew

A named team of cleaners assigned to the same site or route. Crew management is not available yet — see What’s coming.

Schedule

The recurring pattern that says which site gets cleaned, on which days of the week, at what time, and by whom. A schedule doesn’t put anything on the calendar by itself — you still generate jobs from it.

Job

A single, dated visit to a site. Jobs are created from a schedule when you click Generate Jobs. Each job has its own status, clock-in time, clock-out time, and photos.

Evidence

The proof a cleaner collects during a job — right now, that means photos taken live in the app. A job can’t be finished without at least one photo.

Clock-in / Clock-out

Starting and finishing a job in the mobile app. Cleaners tap to start a job (checked against the geofence) and tap FINISH JOB to close it out (requires at least one photo).

Report

The proof-of-service summary CrewProof generates for a completed job, with timestamps, photos, and site details. You send it to your customer with the Send Report button. See Sharing job proof with clients.
